Summary
The Benefits Coordinator will report to the Senior Benefits Specialist, focusing on administration and customer relations for Canadian employees.
Responsibilities
- Administer health and welfare plans, ensuring accuracy and compliance.
- Educate employees on available benefits, conduct orientation sessions, and notify eligible employees.
- Research and resolve employee issues promptly.
- Coordinate with Third-Party Administrators (TPAs) to facilitate benefits administration and claim processing.
- Respond to employee inquiries promptly and deliver exceptional customer service regarding benefits-related matters.
- Ensure data integrity aligns with both the internal and external systems.
- Verify the accuracy of premium payments to insurance providers and process monthly benefit invoices.
- Collaborate with the finance department to ensure accurate and timely funding of employee benefit accounts.
- Oversee the administration of Long-Term Disability (LTD)and Short-Term Disability (STD) claims.
- Address employee inquiries regarding LTD and STD benefits.
- Manage the administration of Short-Term Disability (STD) claims, ensuring precise payment calculations and meticulous upkeep of the STD database.
- Facilitate transparent communication with the disability management provider and PD’s Back-to-Work (BTW)Team.
- Administration of all LOAs, requiring knowledge of WCB, EI, Maternity/Parental leaves, etc.
- Process Group Life claims.
- Ensure compliance with legislation, policies, guidelines, labor standards, and privacy legislation.
- Respond to employment information requests from employees, EI representatives, insurers, and lawyers.
- Collaborate with payroll on understanding payroll processes, employee premiums deductions, and savings contributions.
- Provide support to the Benefits Team as needed for other various projects and management requests.
Communications
- Facilitate the preparation of comprehensive benefit and retirement plan documentation, ensuring timely dissemination to employees.
- Create and/or provide input to employee communications.
- Collaborate with HR to review, develop, and upkeep benefits-related policies.
- Furnish pertinent information for the upkeep of benefits-related content on the intranet.
- Utilize Excel databases and Word to generate employee communications pertaining to benefits proficiently.
Reporting/Systems
- Accountable for ensuring the integrity of benefits data, encompassing the regular updating and maintenance of data and reports.
Office Administration
- Manage the monthly processing of invoices from benefit vendors.
- Responsible for benefit document ordering and ensuring that inventory of documents is always available.
- Develop and update procedure/process notes for benefits administration.

Experience
1 - 2 years of corporate experience is preferred.
Experience administering group benefits programs, disability claims, and retirement plans is a plus.
Familiarity with SAP, Dayforce, Benefit Focus, Sunlife Admin Plus, and SuccessFactors is an asset.
