Assistant, Legal and Human Resources

Job description:


The Administrative Assistant, Legal and Human Resources provides general administrative support to the Legal and HR functions. Responsibilities include:


  • Drafting and editing internal and external communications, preparing memoranda and meeting minutes
  • Filing and maintaining records of correspondence, contracts, litigations, and other documentation
  • Tracking important deadlines for renewals of corporate registrations, licenses, litigations, and insurance coverage, connecting with other stakeholders, and initiating the process for the renewals
  • Completing KYC (Know Your Customer) documentation required by banks, insurance companies and client organizations
  • Facilitate documentation for new hires, promotions, and inter-company employee changes
  • Coordinating pre-employment screening for new employees
  • Oversee the application, renewal, and cancellation of all UAE visas for employees and their accompanying dependents
  • Maintain the vacation/leave balances for the UAE office
  • Process enrollments/cancellations for employee benefit plans
  • Tracks and reports on all recruitment activity in the region (vacancies, offers accepted/rejected)
  • Assists with Expat housing by drafting rental agreements, and following up with landlords and other stakeholders
  • Maintains organizational charts
  • Performing additional duties and special projects as required


Education and Experience:

  • Bachelor’s degree in human resources, Business, Management or Law
  • 2+ Year’s working in a similar capacity in a GCC country


Skills and Competencies:

  • Excellent communication skills, both written and verbal
  • Knowledge of Microsoft Office Suite, including Microsoft Visio and SharePoint
  • Ability to work effectively with individuals at all levels of the organization
  • Ability to work with minimal supervision
  • Ability to deal sensitively with private and confidential information
  • Self-starter with eagerness to assist and learn
  • Ability to work in fast-paced deadline oriented environment
  • Handling a large workload while maintaining attention to detail and meeting deadlines
